Tallymail Referrals Panel — Code of Conduct

Version 2026-11-01 · Operator: Regularis Legal Limited (Co. No. 10710132), 167-169 Great Portland Street, 5th Floor, London W1W 5PF

This Code governs participation in the Tallymail Referrals Panel ("the Panel"). By ticking the acceptance box when joining the Panel, your firm agrees to the terms below. These terms are additional to, and do not replace, the Tallymail Terms of Service and Data Processing Addendum.

1. Who may participate

  1. Your firm must be currently authorised by a legal regulator in a jurisdiction Tallymail supports (SRA, Law Society of Scotland, Law Society of Northern Ireland, Law Society of Ireland, provincial bar in Canada, Law Society in Australia or New Zealand, or state bar in the United States).
  2. Your firm must have no open disciplinary findings that would be material to the client making the choice.
  3. The person accepting on behalf of the firm must be authorised to do so (partner, director, firm admin, or practice manager).

2. Disclosure to clients

Under SRA Transparency Rules (and equivalent rules in each supported jurisdiction) your firm must inform the client in writing, before accepting instructions, that:

3. Fees and billing (fee basis to be enabled in Stage 3)

At the Panel's launch, no fees are charged for inclusion or per referral. If and when a fee basis is introduced it will be at least 30 days' written notice, with the option to leave the Panel at no charge before the fee basis takes effect. Expected fee structure (not yet active):

4. Handling of leads

  1. You will respond to each lead card within 48 hours (even if to decline).
  2. You will treat lead details as confidential and comply with UK GDPR / applicable data protection law.
  3. You will not use lead details for marketing to any third party.
  4. You will update the status of each lead through the Tallymail firm admin ("accepted", "declined", "instructed", "closed", "lost") so Tallymail can measure Panel performance.

5. Independence of advice

Nothing in this Code requires or encourages you to accept a referral or to retain any specific lead. You retain full professional independence over the matters you take on. You must apply your usual conflict checks and client-care procedures to every lead.

6. Equal opportunity in referrals

Tallymail will route referrals using the preferences you have set (practice area, jurisdiction, size, language, minimum matter value). Beyond those preferences, Tallymail will not favour one Panel firm over another on grounds of race, religion, sex, sexual orientation, disability, age, gender identity or any other protected characteristic of the firm's practitioners.

7. Suspension and removal

  1. You may pause or leave the Panel at any time from your firm admin page. Historical lead records are retained for audit.
  2. Tallymail may suspend or remove a firm from the Panel on written notice if there is reasonable evidence of a material breach of this Code, a regulator finding against the firm, or persistent failure to respond to leads.

8. Data protection

Tallymail is the controller for data provided by the end user (the lead) and becomes a joint controller with your firm from the point your firm accepts the referral. The Tallymail Data Processing Addendum applies.

9. Changes to this Code

Material changes will be versioned and notified. On a new version, firms will be prompted at the next admin login to re-accept before any further referral is sent. The version in force at the time of each referral is recorded in the audit log.

Questions? Panel enquiries go to help@tallymail.io. Replies are usually within one business day.
